What RotaProof checks, and what it doesn't

RotaProof keeps your records in order. It doesn't check documents with the Home Office.

RotaProof makes sure your records are complete and in order. It doesn't do the right-to-work check itself, and it doesn't check anything with the Home Office.

What RotaProof checks

  • The check was done on or before the person's first day
  • The check date isn't in the future
  • A copy of the document or result has been uploaded
  • The way you checked is allowed for the proof the person has (for example, eVisa holders must have an online check)
  • Share codes look like real right-to-work codes: 9 characters starting with W
  • British and Irish citizens aren't given a time limit
  • An Employer Checking Service notice isn't recorded as lasting more than 6 months
  • Every item on the checklist for that way of checking has been ticked
  • Time-limited permission has an end date, and whether that date has passed or is coming up
  • Uploaded files really are PDF, JPG or PNG files, and haven't changed since upload

What RotaProof doesn't check

  • Share codes. It doesn't look them up, so it can't tell if one is real or belongs to the person.
  • Documents. It can't tell whether a passport is genuine, or whether an uploaded file is even the right document.
  • What you typed. It can't confirm the permission type or end date match the real result.
  • Your answers. It checks the answers fit the rules, but it can't know whether they're true. If you pick the wrong kind of proof in step 1, or tick the checklist without doing the check, RotaProof can't tell.
What this means for you: a record in RotaProof is only as good as the check behind it. Follow the steps in the guides for online, manual and identity service provider checks every time.

What we're working on

We're exploring connecting RotaProof to certified identity service providers, so passport checks could be verified automatically, so that passport checks don't rely only on what you tell us. That's a plan, not a feature yet.

This guide explains how to use RotaProof. It isn't legal advice. For the rules themselves, the Home Office's employer's guide to right to work checks is the final word.
