Timesheets and payroll export
Check clocked hours, fix mistakes, approve them and export them for payroll.
Timesheets compare each planned shift with when the person actually clocked in and out. Once you've checked and approved them, export the hours for payroll.
Checking the timesheet
Click Timesheets in the menu. For each shift you'll see the planned times, the clocked times, the hours worked and anything that needs a look:
| Label | What it means |
|---|---|
| Didn't clock in | The shift started more than 10 minutes ago and they haven't clocked in. |
| Didn't clock out | The shift ended more than 2 hours ago and they haven't clocked out, so no hours are counted yet. |
| Clocked in 15 min late | They clocked in more than 10 minutes after the start. |
| Left 20 min early | They clocked out more than 10 minutes before the end. |
| Clocked in 1.2 km from the site | Their phone was further from the site than the distance set for it. |
| Times changed by… | A manager changed the times, and why. |
Fixing times
Click Change times (or Add times if they didn't clock in at all), enter when they really started and finished, and say why. The change and the reason show on the timesheet, and the hours need approving again.
Approving hours
Click Approve next to a shift, or Approve all finished shifts to approve the week in one go. Shifts without a finish time can't be approved.
Exporting for payroll
- Click Payroll export on the Timesheets page.
- Choose the dates, usually your pay period.
- Choose who to include. People paid through payroll are employees and casual staff; self-employed and agency workers usually invoice you instead.
- Choose one line per person (total hours) or one line per shift (full detail).
- Leave Only include approved hours ticked unless you have a reason not to.
- Click Show preview to check, then Download file.
The file opens in Excel or Google Sheets and can be imported into most payroll software. Add each person's payroll number on their worker page (Edit details) so the file matches your payroll records.
