The client portal
Give each client a private link to see the shifts at their sites, attendance and that cleaners are checked.
The client portal gives each client you clean for a private link. It shows them the cleaning at their own sites, a week at a time, without you having to send reports.
What your client sees
- Each shift at their sites: the day, the time and the site.
- Whether the shift was attended, arrived late, missed, or has nobody on it yet.
- Whether the cleaner's right-to-work check is in order.
- If you allow it, the cleaner's first name and the first letter of their surname, and the times they clocked in and out.
- This week, up to 12 weeks back and up to 4 weeks ahead.
They never see documents, check details, visa dates, clock-in locations, pay, or anything about your other clients.
Making a link
- Click Client portal in the menu, then Add a client link. Only your company's admins can do this.
- Type the client's name and tick the sites they should see.
- Choose whether to show cleaners' names and clock-in times.
- Click Make link, then Copy the link and send it to your client.
Telling your cleaners
If you show names or clock-in times, you're sharing some of your cleaners' information with your client. You decide what's shared, so tell your cleaners, for example in the privacy notice you give them. Telling your workers about RotaProof has wording you can use.
This guide explains how to use RotaProof. It isn't legal advice. For the rules themselves, the Home Office's employer's guide to right to work checks is the final word.
