Plans and what's included
The free trial, what each plan includes, what happens when a trial or plan ends, and how to change plan.
Every plan includes the right-to-work records themselves. Bigger plans cover more workers, give your managers their own logins, and add features for running the cleaning work day to day.
The free trial
Every new account starts with a 30-day free trial. It includes everything in Operations (the rota, clocking in, timesheets, quotes, invoicing, agency records and logins for your managers) for up to 10 active workers. No card is needed.
- Your plan and the bar at the top of every page show how many days are left. We also email your company's admins a week before it ends and again two days before.
- Choose a plan any time during the trial. You enter your card straight away, but you won't pay until the trial ends.
- When you have 10 active workers, Add a worker takes you to Your plan. People you've marked as having left don't count.
When a trial or plan ends
If the trial ends without a plan being chosen, or a paid plan is cancelled or left unpaid, your account becomes read-only:
- You can still log in, see every record, print the inspection pack, open saved documents and download all your data from Import & export.
- You can't add or change anything, and your cleaners' clock-in links stop working.
- Nothing is deleted. Choose a plan on Your plan and everything switches straight back on.

Choosing a paid plan
- Click Your plan in the menu. Only your company's admins can change plan.
- Pick Monthly or Yearly at the top.
- Click Choose under the plan you want. You'll go to Stripe's secure payment page to enter your card. RotaProof never sees your card number.
- When the payment goes through, you come back to RotaProof and the plan switches on, usually within a minute.
Extra workers
Essential includes 10 active workers, Operations includes 25 active workers and Assured includes 75 active workers. If you have more, we count them every day and add them to your next bill, at the monthly or yearly rate you pay.
Changing plan, card or receipts
- Moving up, or switching between monthly and yearly, happens straight away. The difference for the rest of your current period is added to your next bill.
- Card details and receipts: click Card details and receipts on Your plan.
- If a payment fails, Stripe tries again over the next few days and Your plan shows a warning. If it still isn't paid, your account becomes read-only. Nothing is deleted.
Cancelling
Click Cancel plan on Your plan. Your paid plan carries on until the end of the month or year you've paid for, then your account becomes read-only. You can change your mind before then with Keep my plan. There are no refunds for part of a period.
If you move to a smaller plan
Nothing is deleted. Features that aren't in your new plan are hidden, with a padlock next to them in the menu. Your sites, shifts, timesheets, invoices, agency records and extra logins come back if you switch up again. Clock-in links stop working until then.
