How you charge for each site
A fixed monthly price, a price per visit or an hourly rate, and how each one is worked out.
Each site has one way of charging. Edit the site (Sites in the menu, then Edit) and choose it under Invoicing. Prices are before VAT.
The choices
- A fixed price each month. The same amount every month, for example £1,200 for an office contract. One line on the invoice.
- A price per visit. The price times the number of visits in the month, for example 22 visits at £45.
- An hourly rate. The rate times the hours booked for the visits in the month. It uses the shift's booked hours, not the clocked hours, so the client pays for what they booked even if a cleaner arrives a few minutes early.
- Not invoiced. The site is left off invoices.
What counts as a visit
A visit is a shift with approved hours on the timesheet. Shifts that haven't been approved yet, and shifts where nobody clocked in, aren't charged. When you create a month's invoices, RotaProof lists them so you can approve the hours first, or add a line by hand.
VAT
If you're VAT-registered, choose the VAT rate for the site: standard (20%), zero or exempt. Most cleaning is standard rate. If you're not VAT-registered, the rate is ignored.
Which client
A site's invoices go to the client named on the site. To move a site to a different client, change the client name on the site.
This guide explains how to use RotaProof. It isn't legal advice. For the rules themselves, the Home Office's employer's guide to right to work checks is the final word.
