Right-to-work checks for every cleaner, ready for an inspector
From 1 October 2026, right-to-work checks cover self-employed and agency cleaners on your contracts as well as employees. RotaProof records every check with its proof, reminds you before permission runs out, and has the inspection pack ready in one download.
What makes it hard
More people to check
Self-employed cleaners on your contracts, and cleaners supplied by agencies and apps, now need a check too.
Up to £45,000 per person
That's the fine for a first offence, per person who isn't allowed to work. A proper check, done before they start and saved, is your defence.
Paperwork in five places
Copies of passports in email, share code results in downloads, and no quick way to show an inspector who was checked and when.
Built around how your work actually runs
Try everything free for 30 days, then pick the plan that fits.
Worker type in two questions
Employee, casual, self-employed, agency or app? RotaProof works it out with you, in plain English.
Every check with its proof
Record how you checked, what you saw and upload the result, with a checklist so nothing's missed.
Recheck reminders
Anyone whose permission to work is running out shows up weeks before it ends.
A clear to-do list
See who's not checked, who has something missing and who needs a recheck, the moment you log in.
Inspection pack
Every check in one place, ready to print or save as a PDF, or download with all the paperwork.
Proof nothing was changed
Each uploaded file gets a fingerprint, so you can show it hasn't been altered.
What changed on 1 October 2026
Until now, right-to-work checks were about employees. From 1 October 2026 they also cover workers, individual sub-contractors such as self-employed cleaners who work on your contracts, and people found through online matching platforms. People genuinely in business on their own account are still outside the rules, but what counts is how the arrangement works in practice, not what the contract calls it.
That matters for cleaning more than most, because so many cleaners are self-employed or come through agencies and apps.
Records an inspector can follow
For each person, RotaProof records the type of worker, how they were checked (a Home Office online check with a share code, a manual document check, an identity service provider or the Employer Checking Service), what you saw, when they're allowed to work until, who did the check, and the paperwork. A short checklist makes sure the check was done properly.
The workers list shows everyone's status at a glance: All good, Not checked, Something missing, or Recheck due soon. The inspection pack puts every check in one document, ready to print or save as a PDF, or to download with all the paperwork as one file.
Checks that stay in order
A check isn't a one-off for people with time-limited permission. RotaProof reminds you weeks before anyone's permission runs out, and if it does run out, the rota stops you putting them on a shift and flags any shifts they're already on.
RotaProof doesn't do the check for you, and it isn't legal advice. You still check the share code on GOV.UK or see the documents yourself. What RotaProof does is make sure each check is recorded properly, nothing is forgotten, and the proof is ready when you need it.
Right-to-work software for cleaning companies: common questions
Do self-employed cleaners need a right-to-work check now?
From 1 October 2026, self-employed cleaners who work on your contracts are in scope. People genuinely in business on their own account aren't, but it depends on how the arrangement works in practice.
Does RotaProof check share codes for me?
No. You check the share code on GOV.UK yourself, save the result as a PDF and upload it. RotaProof keeps it, tells you if anything's missing and reminds you when a recheck is due.
What does the inspection pack include?
Every active worker's checks: how and when they were checked, what was seen, when they're allowed to work until, who checked them and the paperwork. Print it, save it as a PDF or download it with all the files.
Can I use the checks my agency did?
You can record a check an agency or app did, as long as you upload their proof of it.
Which plan do I need for right-to-work records?
Right-to-work records, recheck reminders and the inspection pack are on every plan.
