What each status means
All good, recheck due soon, something missing, permission ran out and not checked.
Every worker has a status, shown as a coloured label. It's based on their newest check.
| Status | What it means | What to do |
|---|---|---|
| All good | Checked on or before their first day, paperwork uploaded, and no recheck due in the next 4 weeks. | Nothing. |
| Recheck due soon | Their permission to work ends within the next 4 weeks. | Check them again before the end date. |
| Something missing | There's a problem with the check. See the list below. | Open their page and read What needs doing. |
| Permission ran out | The end date of their permission to work has passed, and there's no newer check. | Check them again straight away. |
| Not checked | No check has been recorded. | Record their check. |
Reasons for “Something missing”
- The check was done after they started. A late check only protects you from the day it was done, not before.
- No paperwork has been uploaded. Without a copy of the document or result, you can't show the check happened.
- An online check has no share code.
- Time-limited permission has no end date, so RotaProof can't remind you about a recheck.
Only the newest check counts. “Newest” means the latest check date. If two checks have the same date, the one added most recently counts.
This guide explains how to use RotaProof. It isn't legal advice. For the rules themselves, the Home Office's employer's guide to right to work checks is the final word.
