RotaProof is made for UK cleaning contractors with roughly 20 to 150 staff: too big to manage this on a spreadsheet, too small for expensive enterprise software.
Why RotaProof exists
Cleaning is one of the fastest-growing kinds of new business in the UK. It also depends on flexible labour: employees, casual staff, self-employed cleaners and agency workers, often all on the same site.
From 1 October 2026, right-to-work checks also cover agency workers and self-employed cleaners who work on a contractor's jobs. Large contractors already have costly systems for this. Most smaller contractors have a folder, a spreadsheet and a WhatsApp group, and no quick way to show an inspector who was checked, when, and how.
RotaProof is for them. It won't do the check for you, but it makes sure every check is recorded properly, nothing is forgotten, and the proof is ready when you need it.

These are our plans, not promises. Dates may change as we learn from the people testing RotaProof.

Right-to-work records, rotas and timesheets
Worker records, checks, recheck reminders and inspection packs; weekly rotas that won't let you put anyone unchecked on a shift; clocking in on a phone, timesheets and payroll exports.

Guaranteed hours, shift notice and a client portal
On the Assured plan: the hours people regularly work and when an offer of guaranteed hours is due, a log of shift changes with the notice given and any cancellation pay, and a private link for each client to see the cleaning at their sites.

Matching the final rules
The government is still writing the regulations for guaranteed hours and shift notice. When they're published we'll update the default settings to match, and tell Assured customers what's changed.
