Agency and platform workers

How to record cleaners supplied by an agency or booked through an app, and keep the proof of the right-to-work check they did.

Agency and platform records are on the Essential plan and above, and in the free trial. On other plans you can still add agency and platform workers and record their checks, just without a record of the agency itself. Compare plans.

If an agency supplies some of your cleaners, or you find people through an app, those workers need checking too from 1 October 2026.

1. Add the agency or app

  1. Click Agencies & platforms in the menu, then Add an agency or platform.
  2. Enter its name, choose Agency or App or platform, and add a contact if you like.
  3. Use Notes to write down what your contract says about checks, and how they give you proof. This helps if an inspector asks.

2. Add their workers

When you add a worker, choose Agency-supplied or App or platform, then pick the agency or app from the list.

3. Record the check

You can either check the person yourself, or record the check the agency or app did, as long as you upload their proof, such as the GOV.UK online check result they saved.

Tip: ask your agencies now what proof of checks they can give you. If they can't give you any, do the check yourself.
What you're responsible for can depend on your contract with the agency or app. If you're not sure, get advice.

This guide explains how to use RotaProof. It isn't legal advice. For the rules themselves, the Home Office's employer's guide to right to work checks is the final word.
