Online checks with a share code
For people with an eVisa or settled status: check them on GOV.UK and save the result.
When to use an online check
Use it for anyone whose permission to work is held online, such as people with an eVisa, settled status or pre-settled status. These people can't be checked by looking at a physical document.
How to do it
- Ask them for a share code. They get one from GOV.UK at Prove your right to work to an employer. A right-to-work share code is 9 characters and starts with the letter W. RotaProof won't accept one that doesn't.
- Go to Check a job applicant's right to work on GOV.UK and enter the share code and their date of birth.
- Check the photo is them. Compare it with the person, either in person or on a live video call.
- Save the result page as a PDF. In your browser, choose Print, then Save as PDF.
- Record it in RotaProof. Choose Home Office online check (share code), enter the share code, choose unlimited or time-limited exactly as the result says, add the end date if there is one, and upload the PDF.
RotaProof doesn't connect to the Home Office. It can't look up a share code for you or tell you whether it's genuine. Always do the check on GOV.UK yourself.
If the result shows time-limited permission, RotaProof will remind you to check them again before it ends.
This guide explains how to use RotaProof. It isn't legal advice. For the rules themselves, the Home Office's employer's guide to right to work checks is the final word.
