Pricing questions
Which plan do I need for rotas and timesheets?
Operations or Assured. They include the rota, clocking in from a phone, timesheets and the payroll export, as well as the right-to-work records. Essential is right-to-work records only. Your free trial includes everything in Operations.
Can I bring my staff over from other software?
Yes, on every plan. Export your staff and sites as a spreadsheet from your current system and import them. Nothing is saved until you've checked the preview, and you can download all your data again at any time.
What counts as a worker?
Anyone you've added who hasn't left: employees, casual staff, self-employed cleaners and agency workers. People you've marked as having left don't count.
How does the free trial work?
For 30 days you get everything in Operations for up to 10 active workers, with no card needed. We'll email you a week before it ends. Choose a plan any time and you won't pay until the trial is over.
What happens if I don't choose a plan?
When the trial ends your account becomes read-only. You can still log in to see, print and download all your records, but you can't add or change anything and clock-in links stop working. Nothing is deleted, and choosing a plan switches everything back on straight away.
How does paying yearly work?
You pay for 9 months and get the whole year, so 3 months are free. Extra workers are charged at the yearly rate too.
How do I pay, and can I cancel?
By debit or credit card on Stripe's secure payment page; we never see your card number. Cancel any time from Your plan. Your plan carries on until the end of the month or year you've paid for, then your account becomes read-only. Nothing is deleted.
Can I change plan later?
Yes. Moving up or switching between monthly and yearly happens straight away, and the difference for the rest of your current period is added to your next bill. Features that aren't in a smaller plan are hidden, not deleted.
How are extra workers charged?
Each plan includes a number of active workers. If you have more, we count them every day and add them to your next bill. People you've marked as having left don't count.
Do you add VAT?
No. RotaProof isn't VAT-registered, so the price you see is what you pay. If that changes, we'll tell you at least 30 days before.
